Doctoral Monitoring Application (DMA)

The Doctoral Monitoring Application, a webbased application for monitoring PhD, was introduced after  the introduction of the Graduate school.

Functionality DMA

All TU Delft PhD students will be registered in the DMA. All new PhD students will be invited for an intake interview at the University Graduate School, after which they are immediately recorded in the DMA. The intake, including the diploma and identity check, is the official registration as a Delft PhD student. PhD students who are not timely and properly registered at the Graduate School will not be able to receive a PhD degree.

In the DMA, the PhD student should establish a digital PhD-agreement, which the daily supervisor and corresponding promotor can approve. Furthermore, the system supports the registration of training and courses for Doctoral Education. The PhD student can track the subjects/courses he or she followed or will follow.  In the end, the DMA provides the information to printout a DE certificate when the PhD student has met the requirements of DE. The faculty Graduate School director signs this certificate. The starting point in all these subjects is of course that the PhD student should consult his or her supervisory team beforehand.

PhD development cycle

The DMA supports the ‘PhD development cycle’, which exists of the official HR requirements within the graduation process.

The PhD development cycle is:

  1. Intake at the University GS
  2. 3 months: establishment of the PhD agreement
  3. 6 months: Progress Meeting (optional)
  4. 9-15 maanden: Go/No go meeting
  5. 24 months: Progress Meeting, repeated every year until the doctoral defence
  6. 36 months: Progress Meeting, repeated every year until the doctoral defence
  7. Doctoral defence ceremony and exit interview

The DMA supports this workflow by reminding the PhD student and the supervisory team of certain steps. Most of the time, the PhD student is responsable for taking the next step.

Doctoral Education

If you are a part of the Graduate School and you are required to follow Doctoral Education (DE). Keep track of your obtained progress by using the attendance form for each and every course that you participate in. You can upload this form in DMA; allowing you to keep a digital record of your DE progress.

Roles within DMA

The DMA is accessible for PhD students and their supervisors. The PhD student writes down the planning (e.g courses to be followed) and arrangements (e.g contact frequency with daily supervisor, educational tasks) in the DMA, the daily supervisor and promotor approve the planning and arrangements in DMA.
